Volunteer software for museums and historic houses

Big museums run volunteer offices with Volgistics or Better Impact and a staff member to manage it. A historic house with forty docents and one director needs the front desk covered Thursday to Sunday and a reminder that reaches people. Here is what each tool costs, from their own pages, and where each one fits.

Who this is for: You run or coordinate volunteers at a small museum, historic house or nature center: docents, greeters, the gift shop and a few special events a year.

When each one is the right choice

JustSignup
You need shifts filled and people reminded every week, and you do not need a volunteer database, applications or background checks.
Volgistics
You want a real volunteer database with a time clock at a small-program price, and your volunteers will log in to a portal.
Better Impact
You run a hospital, museum or city volunteer office with thousands of profiles and a procurement process.
Track It Forward
Your main job is logging and approving volunteer hours for reports, and your volunteers will use an app.
POINT
You want a full nonprofit platform with a volunteer portal and app at no cost and your volunteers will use the app.
Golden
You screen volunteers (waivers, background checks) and want that free, with a portal your volunteers will log in to.
Timecounts
One coordinator, many volunteers, and you want a volunteer database with hour logs for free.
VolunteerMatters
You need credentialing and compliance tracking across a few hundred volunteers.
SignUpGenius
You run one or two simple sheets a year, your volunteers already know it, and ads next to your event don't bother you.
SignUp.com
Your school already runs on it or you need text reminders on the cheapest paid tier and can live with the ad-removal add-on.
Google Forms
You need a one-question survey, not spots that run out, reminders or a waitlist.

When a sign-up page is enough

  • Your volunteers cover the same shifts each week (front desk, docents, tours, gift shop) and you need gaps visible and reminders sent.
  • You run a few special events a year, like a holiday open house, where volunteers pick a room or a station.
  • You report volunteer hours for your annual report or a grant, and a CSV or printed letter per volunteer covers it.

When it is not

  • You run a large museum's volunteer office with applications, training records and badges for hundreds of people. Volgistics and Better Impact are built for that.
  • Your parent university or city requires a security review and single sign-on for any software. Expect a procurement process whatever you choose.
  • You need volunteer records tied to membership and donor records in one database. That is a CRM, not a scheduler.

Questions people ask

What do small museums use to schedule docents?
Paper binders, spreadsheets and sign-up sheets are the most common; Volgistics is the long-standing choice for museums with a volunteer office. A weekly sign-up page with reminders sits in between: no volunteer logins, and $79 to $290 a year for the whole museum.
Do docents need to log in?
With Volgistics (VicNet), Better Impact and Track It Forward, volunteers use a portal or an app. With JustSignup and SignUpGenius they don't.
Can volunteers pick a room or a station?
With JustSignup, each room or station is its own spot with its own count, so a volunteer signs up for the parlor or the gift shop, not just a time.
