Volunteer management software / Volunteer scheduling software for food pantries
Volunteer scheduling software for food pantries
A pantry runs on the same shifts every week, the same few dozen regulars, and a holiday rush that doubles everything in November and December. The tools built for food banks assume a staff and a budget; the free sheets assume one event. Here is what each option costs, from their own pages, and which one fits a pantry your size.
Who this is for: You run a food pantry or meal program, probably as a volunteer, with 20 to 150 regular volunteers, and the schedule lives in a binder, a group text or a sign-up sheet with ads.

When each one is the right choice
- JustSignup
- You need shifts filled and people reminded every week, and you do not need a volunteer database, applications or background checks.
- SignUpGenius
- You run one or two simple sheets a year, your volunteers already know it, and ads next to your event don't bother you.
- SignUp.com
- Your school already runs on it or you need text reminders on the cheapest paid tier and can live with the ad-removal add-on.
- Google Forms
- You need a one-question survey, not spots that run out, reminders or a waitlist.
- Volgistics
- You want a real volunteer database with a time clock at a small-program price, and your volunteers will log in to a portal.
- Civic Champs
- You want check-in kiosks and an app for a few dozen regulars and can pay a year up front.
- POINT
- You want a full nonprofit platform with a volunteer portal and app at no cost and your volunteers will use the app.
- Golden
- You screen volunteers (waivers, background checks) and want that free, with a portal your volunteers will log in to.
- Track It Forward
- Your main job is logging and approving volunteer hours for reports, and your volunteers will use an app.
- VolunteerHub
- You onboard volunteers at volume with landing pages, kiosks and waivers, and you have the budget for a contract and setup.
- Better Impact
- You run a hospital, museum or city volunteer office with thousands of profiles and a procurement process.
- Galaxy Digital
- You are a volunteer center or United Way matching volunteers across many agencies.
When a sign-up page is enough
- Your shifts repeat every week (sorting, distribution, packing, delivery) and you need them filled and the volunteers reminded.
- Your volunteers are regulars and neighbors, not strangers who need screening, and many of them will never install an app.
- You report hours per volunteer to your board, your food bank or a grant, and a CSV or a printed letter covers it.
When it is not
- You are a regional food bank onboarding thousands of volunteers with waivers, orientations and group bookings. VolunteerHub, Better Impact and Galaxy Digital are built for that.
- Your food bank or a federal program requires a specific client-intake system. That is separate from volunteer scheduling, and a sign-up page does not replace it.
- You need background checks or document tracking for drivers. Golden includes screening; a sign-up page does not.
