How to set it up

A teacher gift collection is a money question dressed as a sign-up, and the sheet should keep the two apart. The sheet's job is to show who is in: a row for the teacher's gift card at a suggested amount, one for the aide, and one for the specials teachers who never get anything. Each row has a count so you can see at a glance that 14 of 22 families have chipped in. Then two small jobs: the person who buys and wraps the gift cards, and the person who takes the card around for the kids to sign.

The mistake is collecting through a payment app with no list, so the room parent is reconciling screenshots the night before break. Keep the money moving however your families already pay, and keep the sheet as the list of who has. One tip: put the suggested amount on the row and 'any amount is fine' in the description. Families who can't do $10 will still sign up for $5, and the ones who can will quietly round up.

Questions people ask

How do we actually collect the money?
Through whatever your families already use: cash in a labeled envelope to the office, a check, or the room parent's payment app. Ask at signup how each family plans to pay so you know what to expect. The sheet tracks who's in; it never holds money.
What if some families can't contribute?
Say 'any amount, or none, is fine' in the description and mean it. Every student signs the card regardless. Hide names on the page if you'd rather nobody see who gave what; the template does that by default.
Gift card or a gift?
Gift card, almost always. Ask the teacher's favorite store or restaurant through the office or last year's room parent, and put it on the page so people know what they're funding. Add the aide and the specials teachers; they're the ones who get forgotten.

Why not a paper sheet or a Google Form?

A paper sheet lives in one place and fills up with the first people who walk past it. A Google Form takes forty signups for a row that needed two, and you find out in the spreadsheet.
