How to set it up

The holiday shop runs for a school week in the library, and every class visit needs a cashier and two or three helpers. Helpers walk a first grader through the tables with a budget envelope and a list of who they're buying for, then wrap what they pick. The cashier runs the register and keeps the line moving. Before any of it there's a setup night to unpack and price the inventory, and after the last visit on Friday, a pack-up crew to count what's left and box it for the vendor.

The mistake is one row that says 'holiday shop helpers, all week'. Nobody can do all week, and the ones who can don't know which day they're actually needed. Build the sheet by day with a morning and an afternoon block that match the class schedule, and put the visiting grades in the description so a parent can pick the block when their kid comes through. One tip: the register scares people off. Write 'we'll show you, it takes five minutes' on the cashier row and it fills.

Questions people ask

Who handles the cash?
One cashier per block, with the drawer counted in by the shop chair at the start of each day and out at the end. Add a checkbox at signup, 'I've run the register before', so you can pair a new cashier with an experienced helper. Keep the cash box out of the sheet entirely; the sheet is who's there, not what's in the drawer.
How many helpers per class visit?
One for every eight kids, so three for a class of 24. Kindergarten and first grade need four. Put the grade on the block so you can set the count honestly.
Can the shop chair and the PTA treasurer both manage the page?
Add them as co-organizers. The chair fills shifts and checks people in; the treasurer sees who worked the register which day.

Why not a paper sheet or a Google Form?

A paper sheet lives in one place and fills up with the first people who walk past it. A Google Form takes forty signups for a row that needed two, and you find out in the spreadsheet.
