How to set it up

Room parents are the PTA's whole delivery system: they run the class parties, collect for the teacher gift, find the chaperones and pass along the newsletter. The sheet is one row per classroom with two spots each, posted at back-to-school night, so every teacher has a name by the second week. Put the job on the page in plain terms: four parties, two gift collections, one class list, about an hour a month.

The mistake is letting each teacher find their own, which works for the teacher with the chatty class and fails for the new teacher who doesn't know anyone yet. One sheet for the whole school lets the coordinator see which rooms are still empty and ask one parent directly. One tip: add a question for the student's name and the parent's preferred contact, text or email, so the teacher can match the room parent to a child she already knows.

Questions people ask

What if three parents want the same room?
The row closes at two and the third goes on the waitlist. The coordinator can raise the count to three for that room if the teacher wants the help, or keep the third parent as the first call for chaperones.
How does a room parent run their own class?
They make their own page for the party or the gift collection and the coordinator joins as a co-organizer. With Pro the PTA runs unlimited pages, so every room has one and the board can see them all.
Can we email all the room parents at once?
Yes. Email everyone on the page from the dashboard, which is how the coordinator sends the party dates in October and the gift collection reminder in December without keeping a separate list.

Why not a paper sheet or a Google Form?

A paper sheet lives in one place and fills up with the first people who walk past it. A Google Form takes forty signups for a row that needed two, and you find out in the spreadsheet. An online sign-up sheet closes each row when it's covered, sends a reminder the day before, and gives every person a link to cancel so the spot reopens. See the side-by-side with Google Forms.
