Lunch Duty Volunteer Sign Up Sheet (free, online)
Two or three parents in the cafeteria and on the playground every school day, on a weekly rotation that rolls forward all year.
How to set it up
Lunch duty is the one volunteer job that happens every single day, so the sheet should be a weekly grid: Monday through Friday, one row per day, three spots each. Parents claim a standing day (every Tuesday) or a one-off. Put the actual times on the rows, 11:15 to 12:45, and say whether the job is the cafeteria, the playground or both, because they are different jobs and different parents like them.
The mistake is a monthly paper calendar in the office that only the office sees. Online, the week that is short shows up on the page and in the Friday email, and the coordinator asks for exactly the two days that need someone. One tip: ask for the volunteer badge number at signup and make it required. The office stops chasing it and the front desk prints the day's list.
Questions people ask
- Can a parent take every Tuesday for the year?
- Yes. Turn on the rolling schedule and the page adds the next weeks by itself with the same rows, or extend it a month at a time. Volunteers sign up as far ahead as they like and get a reminder the day before each one.
- What happens when someone is sick?
- The cancel link in their confirmation reopens the day and tells the coordinator. Email everyone on the sub row with the date, and the first yes takes the open spot on the page.
- Does the office get a list?
- Print the day's or the week's list from the page, or add the front desk as a co-organizer so they see who is coming in before the doors open.
Why not a paper sheet or a Google Form?
A paper sheet lives in one place and fills up with the first people who walk past it. A Google Form takes forty signups for a row that needed two, and you find out in the spreadsheet. An online sign-up sheet closes each row when it's covered, sends a reminder the day before, and gives every person a link to cancel so the spot reopens. See the side-by-side with Google Forms.
