How to set it up

A competition Saturday is a sixteen-hour day with four separate crews that never see each other: pit crew loads the trailer at dawn and pushes the front ensemble on and off the field, the props crew moves the set pieces on the same clock, uniform parents check plumes and gauntlets in the parking lot, and the food crew feeds a hundred and fifty students twice. Post one page for the day with a section per crew, real report times on every row, and a count that matches what the director actually needs on the field.

The mistake is a group chat where the pit chair, the uniform chair and the food chair each keep their own list and the booster president finds out on Friday that the bus has one chaperone. One tip: list props separately from pit. They move on the same cue but it is a different eight people, and a sheet that lumps them together is always short by eight.

Questions people ask

Five competitions this fall. One page or five?
One page per Saturday, copied from the first. The crews and counts come along, you change the date and the venue, and the parents who did the last one get the new link in one email from the page.
Chaperones need the district clearance. Can we check it?
Add a required question at signup, 'District volunteer clearance on file', and only put cleared parents on the bus rows. Each crew chair can be a co-organizer and manage their own rows without seeing the whole thing change.
Can students sign up for pit or props?
Yes. Ask for a parent or guardian email on the form and the parent gets the same confirmation and the reminder the day before, so a 6:00 a.m. load does not come as a surprise to anyone.

Why not a paper sheet or a Google Form?

A paper sheet lives in one place and fills up with the first people who walk past it. A Google Form takes forty signups for a row that needed two, and you find out in the spreadsheet. An online sign-up sheet closes each row when it's covered, sends a reminder the day before, and gives every person a link to cancel so the spot reopens. See the side-by-side with Google Forms.
