How to set it up

A field trip needs one adult for every five to eight kids depending on age, and the district usually requires that every one of them has a background clearance on file. The sheet lists each class or bus as its own row with the number of chaperones it needs, plus a required question for the clearance or badge number so the office can check the list the week before. When a row is full it closes, and the next parent goes on the waitlist, which is a kinder answer than 'we'll see'.

The mistake is a note in the backpack that says 'chaperones needed, let me know'. Fifteen parents reply for a trip that takes four, and the teacher spends an evening choosing. Let the sheet choose: the first four get it and everyone else is on the list in order. One tip: say on the page whether chaperones ride the bus or drive, pay admission, and can bring younger siblings (almost always no). It saves ten emails.

Questions people ask

How does the waitlist work?
When a class row is full, the next parent joins the waitlist for it instead of being turned away. If a chaperone cancels through the link in their confirmation, the spot reopens and the first person waiting is next in line; the teacher sees both lists the whole time.
Can the office check clearances?
Add a required text question for the clearance number at signup. The teacher prints or exports the list for the office, or adds the secretary as a co-organizer so she sees it live. Nobody chases a parent for a number the week of.
Can we use the same sheet for the spring trip?
Copy the page, change the date and the destination, and email everyone from the fall trip the new link from the page. The cleared parents usually say yes twice.

Why not a paper sheet or a Google Form?

A paper sheet lives in one place and fills up with the first people who walk past it. A Google Form takes forty signups for a row that needed two, and you find out in the spreadsheet. An online sign-up sheet closes each row when it's covered, sends a reminder the day before, and gives every person a link to cancel so the spot reopens. See the side-by-side with Google Forms.
