How to set it up

A holiday bake sale sells at the two moments parents are already in the building: drop-off and pickup. That shapes the sheet. The baked goods need counts by category so you get a spread instead of thirty plates of sugar cookies, and the table needs two people for the 45 minutes before the bell and two for the hour after, plus someone to set up at 7:00 and someone to pack up and count the cash box. Everything pre-cut and wrapped so it sells by the piece.

The mistake is asking for 'holiday baked goods' with no number. You'll get a mountain of cookies, no bars, and nothing for the kid with a nut allergy. Put a count on every category, and add a labeled nut-free or gluten-free row so it's guaranteed to exist. One tip: ask every baker to tape an index card with the ingredients to the plate. It takes a minute and saves the sellers from guessing.

Questions people ask

Can we sell homemade food at school?
Check with the office first. Some districts only allow store-bought food sold to students, in which case the rows become packaged treats by category instead of home-baked. If homemade is fine, ask for the ingredient card on every plate and keep the nut-free plate on its own row so it always exists.
How do we price and handle the money?
Price by the piece in round numbers, a dollar or two, so sellers aren't making change for a quarter. One cash box, counted by the two pack-up people together and handed to the PTA treasurer. The sheet lists who was at the table; keep the money off it.
How many bakers do we need?
Count the rows. Ten plates of cookies, six pans of bars, six dozen cupcakes and a few loaves covers a school of 400 across two sales windows. When a category fills, the next parent sees only what's still open.

Why not a paper sheet or a Google Form?

A paper sheet lives in one place and fills up with the first people who walk past it. A Google Form takes forty signups for a row that needed two, and you find out in the spreadsheet. An online sign-up sheet closes each row when it's covered, sends a reminder the day before, and gives every person a link to cancel so the spot reopens. See the side-by-side with Google Forms.
