How to set it up
A conference sheet is a list of time slots, one family each. Write the day and the start and end time in every row, keep the slots the same length, and leave a gap or two for running over. Parents open the link, pick the slot that works, and type a name and email. The slot closes the moment it is taken, so two families never land on the same ten minutes, and each family gets a reminder the day before with a link to change their time.
For a whole school, build the page once in the office and let every teacher copy it. Each teacher then has their own page with their own slots, and nobody shares a spreadsheet tab. Ask one question on the form, the student's name, so the teacher knows who is coming without parents having to say so in a note. Put the room number and where to park at the top of the page; it goes into the confirmation email too.
Questions people ask
- How long should each conference slot be?
- Ten to fifteen minutes is common in elementary school, fifteen to twenty for older students or longer agendas. Whatever you pick, leave one empty slot each hour so a conversation that runs over doesn't push every family after it.
- Do parents need an account to sign up?
- No. They open the link, choose a time, and enter a name and email. They get a confirmation, a reminder the day before, and a link to change or cancel, which reopens the slot for another family.
- Can every teacher in the school use the same sheet?
- Yes. One person builds the conference page and each teacher makes their own copy, so every teacher has their own slots and their own list of families. With a school account the office shares it as a template and it appears on every teacher's dashboard.
- What if a family needs a different time?
- Put a line at the top of the page saying who to email for another time, and add a row or two outside the main block for those requests. Families who can't make any slot will write rather than not come.
Why not a paper sheet or a Google Form?
A paper sheet lives in one place and fills up with the first people who walk past it. A Google Form takes forty signups for a row that needed two, and you find out in the spreadsheet. An online sign-up sheet closes each row when it's covered, sends a reminder the day before, and gives every person a link to cancel so the spot reopens. See the side-by-side with Google Forms.
