Booth shifts, ticket table, setup and teardown for the biggest night of the year.
How to set it up
A school carnival is 40 to 80 volunteer spots on one evening and the sheet has to be organized or it collapses. Split it into shifts of 60 to 90 minutes and list every booth by name under each shift: ring toss, cake walk, face painting, the dunk tank. Then the fixed jobs: ticket table, food line, the floater who relieves people for bathroom breaks. Then setup in the afternoon and teardown at the end, which is where you'll be shortest.
The mistake is one row that says 'booth volunteers, 5 to 8, need 30'. Nobody wants to sign up for something that vague. Naming the booth and the hour gets people to commit. One tip: ask each classroom to own one booth. The teacher gets the link, the class fills its own shifts, and the PTO only has to chase the fixed jobs.
Questions people ask
- How long should a booth shift be?
- Ninety minutes. An hour means too many handoffs; two hours and people stop signing up. Three shifts across a 5-to-9 carnival covers it with a little overlap.
- How do we handle the teardown problem?
- Everybody signs up for the fun shifts and nobody for teardown. Post teardown at the top of the page, give it a bigger number than you think you need, and ask the last-shift booth workers to stay 30 minutes. Reminders the day before help here more than anywhere.
- Can classrooms manage their own booth?
- Yes, and it's the best way to fill 60 spots. Give each room its own list on the page, send the teacher the link, and let families fill their room's rows. You still see everything on one page.
Why not a paper sheet or a Google Form?
A paper sheet lives in one place and fills up with the first people who walk past it. A Google Form takes forty signups for a row that needed two, and you find out in the spreadsheet.
