How to set it up

Back-to-school night is the PTO's best recruiting evening and the one it's usually least staffed for. You need greeters at the doors who know where the third-grade hall is, two or three people at the PTO table signing up new members, someone running the spirit-wear table, and someone at the volunteer-interest table with the year's list of events. Light refreshments help people linger. All of it is two hours on one evening.

The mistake is putting the same three people at every table. Spread it out so the PTO officers can talk to parents instead of guarding a table. One tip: the volunteer-interest table should have this year's sign-up links on a printed QR poster. A parent scans it standing there and you've got them for the fall carnival before they leave the building.

Questions people ask

How many greeters?

One per entrance families actually use, plus one floating in the main hall. Give them a map. New families remember the person who walked them to the right room.

Should we sell anything?

Spirit wear and memberships, yes. Keep those tables separate from the volunteer table so the person asking for help isn't also asking for money.

How do we turn the night into volunteers for later?

Have the fall event sign-up pages already built and share them from the table. Someone who signs up for one shift tonight is far more likely to sign up again than someone who just wrote their email on a clipboard.

Why not a paper sheet or a Google Form?

A paper sheet lives in one place and fills up with the first people who walk past it. A Google Form takes forty signups for a row that needed two, and you find out in the spreadsheet.
