How to set it up

The class holiday party is an hour long and needs about twelve things to happen. Food that follows the school's rules, usually nut-free and store-bought with the label still on. Paper goods. Three stations the kids rotate through, a craft, a game and cookie decorating, each with an adult running it. And two parents to set up at 1:00 and two to clean up at 2:30 so the teacher doesn't do it alone.

The mistake is a group text that says 'let me know what you can bring'. Four people bring cookies, nobody brings cups, and the room parent spends the morning of the party at the store. Put every item on its own row with a count, and every station with a time, so a parent can see exactly what's still open. One tip: ask the teacher for the allergy list before you post, and write the rules at the top of the page once instead of answering the question twelve times.

What about allergies?
Ask the teacher for the class allergy list before you post anything, and write the rules at the top of the page: nut-free, store-bought, label on, or whatever your school requires. Add a row for an allergy-safe treat so there's always something on the table for the kid who can't have the cupcakes. The parent of that kid will usually take the row.
How many parents in the room?
One per station plus a floater, so five or six for three stations. More than that and the room is crowded. The school may cap visitors, so check with the office and put the number on the page.
Does the school need a visitor badge or clearance?
Many do. Add a required question for the badge number, or a checkbox for 'cleared with the office', so station volunteers aren't turned away at the front desk on the day.

Why not a paper sheet or a Google Form?

A paper sheet lives in one place and fills up with the first people who walk past it. A Google Form takes forty signups for a row that needed two, and you find out in the spreadsheet.
