How to set it up

Graduation looks like the school's event but the parents run half of it: setting out chairs, handing out programs, ushering grandparents to the reserved rows, running the reception table with punch and sheet cake, and folding it all back up at the end. Most of those jobs happen in a narrow window before and after the ceremony, so the sheet needs times on every row and a note about where to report.

The mistake is expecting graduating families to volunteer. They're in the audience. Ask junior parents, or the class two years back. One tip: the reception runs out of everything fifteen minutes in. Put a count on the cake and water rows that assumes every guest, not every graduate, and a runner row for someone to go get more ice.

Questions people ask

Who should we ask to volunteer?
Junior parents, alumni parents, staff family. Graduating families want to sit down and watch. Say who you're asking in the page description so seniors' parents don't feel obliged.
How much food for the reception?
Assume four guests per graduate and one slice each. For 150 graduates that's 600 slices, so 15 sheet cakes. It sounds like a lot until you've watched a reception table empty in ten minutes.
Do we need a separate sheet for the ceremony and the reception?
No. One page with a list for each part keeps it simple, and a parent who ushers before can work the reception after with one signup and one confirmation email.

Why not a paper sheet or a Google Form?

A paper sheet lives in one place and fills up with the first people who walk past it. A Google Form takes forty signups for a row that needed two, and you find out in the spreadsheet.
