How to set it up
Teacher appreciation week is a five-day project that goes wrong on day three when nobody remembered Wednesday's lunch. Build the sheet by day. Under each day, list exactly what needs to show up: the breakfast items on Monday, the flowers on Tuesday, the taco bar on Wednesday with a row for each component, the dessert table, the Friday cards from students. Add a setup and cleanup row for each day the lounge gets used.
The mistake is a single list called 'Teacher Appreciation' with twenty items and no dates. Parents don't know which day their crockpot is needed and half of it arrives Monday. One tip: name a point person per day in the row description with their phone number. When the taco meat runs late on Wednesday, people know who to text.
Questions people ask
- How do we split a lunch into rows?
- One row per component with a count: taco meat for 40 (2 people), shredded cheese (1), tortillas (1), salsa and chips (2), drinks (2). When each row fills, the lunch is covered. A row called 'lunch' never tells you what's missing.
- What if parents want to give money instead of food?
- Fine, but keep it off this sheet. Collect money through whatever your PTO already uses and buy the items you're short on. The sheet's job is to show what's still needed.
- How early should it go out?
- Two to three weeks before the week itself. Send it once, then a second note to everyone who hasn't signed up. Online, share a link that shows only the open rows so people can see exactly where the gaps are.
Why not a paper sheet or a Google Form?
A paper sheet lives in one place and fills up with the first people who walk past it. A Google Form takes forty signups for a row that needed two, and you find out in the spreadsheet.
