How to set it up
A school fun run is a volunteer event that happens to include running. Each grade runs for about 30 minutes, and during that half hour you need lap counters at the finish, marshals at every corner of the course, a water stop, a music table and someone at the first-aid chair. Multiply that by six grades and you're looking for a lot of half-hour spots. The sheet should be organized by grade block, so a parent can pick the block their kid runs in.
The mistake is asking for 'course volunteers' for the whole morning. Almost nobody can do 8 to noon, and the ones who can are the same five people who do everything. One tip: give lap counters a printed list of runners with numbers and a pen, and put 'bring a clipboard' in the row description. It makes the job feel real and keeps counting honest.
Questions people ask
- How many marshals does a course need?
- One at every turn where a kid could go the wrong way, plus one at the start and one at the finish. For a typical field loop that's four to six. Walk the course once and count the corners.
- Should the sheet handle pledges too?
- No. Pledges are a fundraising job with a different tool. Keep this sheet for the people who stand on the course. If you need a link to the pledge page, put it in the page description.
- How far ahead should we post it?
- Three weeks, then a reminder email a week out to everyone who hasn't signed up. Online sheets send the day-before reminder to everyone who did, which is where most no-shows are avoided.
Why not a paper sheet or a Google Form?
A paper sheet lives in one place and fills up with the first people who walk past it. A Google Form takes forty signups for a row that needed two, and you find out in the spreadsheet.
