How to set it up

A classroom party sheet is short but it has to be specific. The teacher usually needs three things: food that follows the school's allergy rules, paper goods so nobody eats cupcakes off a napkin, and a couple of parents in the room to run a game or craft and clean up. List them as separate rows with counts. 'Treats' with no number gets you four trays of cookies and no juice.

The mistake is using a group text. Someone says 'I'll bring plates', someone else brings plates too, and nobody brought drinks. A sheet with one row per item, each one closing when it's claimed, fixes that. One tip: add a row for 'something for kids who can't have the main treat' and name it that plainly. The parent of the allergic kid will grab it, and everyone else knows it's handled.

Questions people ask

How much food for a class?
One serving per kid plus a few extra: 24 for a class of 20. Put the count in the row label so nobody has to ask. Two people on the main treat is plenty; more than that and you're sending food home.
Should we ask for money instead?
Some schools prefer it. If you're collecting a few dollars per family, do that separately and use the sheet only for the items and helpers. Mixing the two makes the sheet confusing.
What about allergies in the room?
Ask the teacher what the rules are and write them at the top of the page: nut-free, no homemade, whatever applies. Then add the allergy-safe row so there's always a safe option on the table.

Why not a paper sheet or a Google Form?

A paper sheet lives in one place and fills up with the first people who walk past it. A Google Form takes forty signups for a row that needed two, and you find out in the spreadsheet.
