How to set it up
Field day needs bodies at stations more than anything else. Every station, from the tug-of-war rope to the sponge relay, wants at least one adult running it and one resetting it, for the whole rotation. Then there's the water table, someone driving the ice run, a first-aid seat by the office, and a crew to carry cones and tables out at 7 a.m. and back in at 2. A sheet that lists stations by name gets filled faster than one that says 'volunteers needed, 9 to 2'.
The mistake is asking for all-day people. Parents can give two hours, not seven. Split the day into morning and afternoon rotations and let one person cover a station for one block. One tip: put the grade schedule on the page. A parent will pick the block when their own kid is on the field, and that's fine, it still gets covered.
Questions people ask
- How many adults per station?
- One to run it, one to reset it and keep the line moving. For big-equipment stations like the inflatable or the tug-of-war, make it three. Put the number on each row so the sheet asks for exactly that.
- Do we need shifts or is one list enough?
- Two blocks, morning and afternoon, is the sweet spot. Most parents can give one block. If you make it one list for the whole day you'll get half the people you need.
- How do we get volunteers to actually show up?
- Reminders the day before with the station name and time, and a printed check-in list at the volunteer table. Online sheets send that reminder automatically. Paper ones don't.
Why not a paper sheet or a Google Form?
A paper sheet lives in one place and fills up with the first people who walk past it. A Google Form takes forty signups for a row that needed two, and you find out in the spreadsheet.
