Fall Festival Volunteer Sign Up Sheet (free, online)
Setup, trunks, booth shifts by the half hour, and take-down, for the one evening a year that needs forty people at once.
How to set it up
A fall festival needs more volunteers than any other night of the school year, and they are needed in short bursts: a setup crew at 4:30, booth attendants in half-hour or one-hour shifts from 5:00 to 7:00, trunk-or-treat cars in place by 4:45, and a take-down crew at 7:00. Write the sheet the way the evening actually runs and it fills, because a parent can see that 'maze, 6:00 to 6:30' is a real, small ask.
Put the trunks in their own section with a candy count per car and a question for the trunk theme. Put each booth in its own section with time slots, two people each. Post it four weeks out and share the open spots into the group chat once a week; the last ten slots always go the day before.
Questions people ask
- Half-hour shifts feel like a lot of rows. Is it worth it?
- Yes. Short shifts fill first because a parent can take one and still walk the festival with their own kids. Long shifts sit empty.
- How do we handle trunk themes and candy?
- Add a question for the theme so you don't get six Frozen trunks, and put the candy amount in the row label so nobody shows up with one bag.
- Can the festival live on the same page as the rest of the PTA year?
- Yes. Make it one event card on the year page, and give the flyer the festival's own link so it opens straight to the festival.
Why not a paper sheet or a Google Form?
A paper sheet lives in one place and fills up with the first people who walk past it. A Google Form takes forty signups for a row that needed two, and you find out in the spreadsheet.
