How to set it up

A bake sale sheet has two halves and most people only make one. The first half is the food: cookies, brownies, cupcakes, a couple of gluten-free or nut-free options, and something savory for the people who don't want sugar at 9 a.m. The second half is the table: someone to set up, two people per hour to sell and make change, and someone to pack up and count the cash box. The sale that runs out of helpers at 11 is the one that forgot the second half.

The common mistake is asking for 'baked goods' with no number. You get thirty dozen chocolate chip cookies and nothing else. Put a count on every row so the sheet closes a category when it's covered. One concrete tip: ask bakers to label ingredients on an index card taped to the plate. Parents of allergic kids will thank you, and it saves the sellers from guessing.

Questions people ask

How much should we ask each person to bake?
Two dozen of anything small, or one pan of bars pre-cut into 16. It's enough to matter and not so much that people skip signing up. If you need more, add more plate rows rather than raising the per-person amount.
Should the sheet collect money or just food?
Just food and shifts. Pricing and cash live at the table. If you want to track who paid for a pre-order, add a text question at signup, but keep the sheet itself about what shows up.
What about allergies?
Add a row for nut-free and one for gluten-free so they're guaranteed to exist, and put a note on the page asking everyone to list ingredients on a card. You can't promise a kitchen is nut-free, but you can promise the plate is labeled.

Why not a paper sheet or a Google Form?

A paper sheet lives in one place and fills up with the first people who walk past it. A Google Form takes forty signups for a row that needed two, and you find out in the spreadsheet. An online sign-up sheet closes each row when it's covered, sends a reminder the day before, and gives every person a link to cancel so the spot reopens. See the side-by-side with Google Forms.
