How to set it up

Advent is four Sundays with the same small jobs each week: a family to light the wreath, a reader for the Advent scripture, two greeters, and a few people doing coffee and treats in the hall afterward. It's not many people, but it's the same question four weeks running, and it usually gets asked on the Wednesday before. Set the whole season once, in mid-November, with each Sunday as its own list and the theme (hope, peace, joy, love) on it.

The mistake is announcing it from the pulpit and waiting. The same two families volunteer and nobody else wants to seem pushy. Ask for availability instead: families check the Sundays they could do, you assign one family per week and spread the rest out, and everyone gets their date by email. One tip: send the candle-lighting family the reading in advance, in the confirmation email, so the eight-year-old has a week to practice.

Questions people ask

How do we pick which family lights the candle each week?
Ask for availability and assign by hand. A family new to the church on the first Sunday, the family whose kid has been asking since October on the third. The page lets you put a name on each week yourself; use auto-fill for the hospitality and greeter rows.
Can it include Christmas Eve too?
Add a fifth list for Christmas Eve on the same page, or run the Christmas Eve template alongside it. Keep the four Advent Sundays together so families see the whole season at once.
Can we reuse it next year?
Copy the page. The dates move forward, the rows stay, and the people who served this year are already on your list.

Why not a paper sheet or a Google Form?
