How to set it up
Holy Week is five or six services in eight days, and each one needs the same small crew: readers for the lessons, greeters at every door, two adults in the nursery, and on Easter morning a parking team and people in the kitchen for breakfast. Palm Sunday needs palms folded and handed out, Maundy Thursday needs a quiet reset of the sanctuary afterward, and the egg hunt on Saturday needs more hands than any single service. Put every service on one page as its own event with the roles under it, with report times, because greeters on Easter arrive before the lot fills.
The mistake is announcing one service at a time through Lent and ending up with the Easter Vigil uncovered. Post the whole week in January, ask people which services they could serve, and assign from that so nobody is at every door and the families who come to the 9:00 are greeting at the 9:00. One tip: send the reader their passage in the confirmation email. A week with the text beats a slip of paper in the narthex.
Questions people ask
- How do people sign up for the services they'll actually attend?
- Each service is its own card on the page. Volunteers open the ones they're coming to and either take a spot or check the ones they could do, and you assign from that. The Vigil and the early Easter service are the ones to watch; the page shows which is still short.
- Can the egg hunt and the breakfast live on the same page?
- Yes. They are more lists on the same page, with their own date and counts, and the breakfast can include things to bring, like a dozen eggs or a pan of sausage, with a count on each. One link in the bulletin covers the whole week.
- Will it be the same twelve people again?
- Less so when the page goes to everyone instead of the people in the pews that Sunday. Email the whole congregation list the link in January, and send the page's still needed message in the second week of Lent. Next year, copy the page and the dates move forward.
Why not a paper sheet or a Google Form?
A paper sheet lives in one place and fills up with the first people who walk past it. A Google Form takes forty signups for a row that needed two, and you find out in the spreadsheet. An online sign-up sheet closes each row when it's covered, sends a reminder the day before, and gives every person a link to cancel so the spot reopens. See the side-by-side with Google Forms.
