How to set it up
A parish fish fry is the same Friday seven times in a row: a kitchen crew at the fryers from mid-afternoon, a serving line from the moment the doors open, runners for the drive-through, two people on tickets and the cash box, and a cleanup crew that stays until the floor is mopped. The sheet should be one week built properly, with real times and a count for each job, rolling forward through the last Friday before Holy Week. Regulars claim their standing Friday; everyone else sees exactly which week is short.
The mistake is a clipboard in the vestibule that fills for the first two Fridays and goes blank for the rest. One tip: put the dessert table on the sheet as items with a count per Friday. Parishioners who can't stand at a fryer for four hours will bring a pan of brownies or two dozen cookies, and the dessert table is where a fish fry makes its margin.
Questions people ask
- Do the regulars have to sign up every single Friday?
- They sign up for each Friday they can make, which takes a minute for the whole season and keeps the list honest. The schedule rolls forward on its own with the same jobs and counts, so nothing gets rebuilt in March.
- The men's club runs the kitchen and the youth group does cleanup. Can each run its own rows?
- Add one person from each as a co-organizer. They see the page in their own dashboard, put people on their rows and email their crew, and the pastor's office still sees the whole Friday on one page.
- What happens when a dessert baker cancels Thursday night?
- They cancel from the link in their confirmation, the dish reopens with a still needed line, and you email everyone on the page. The reminder the day before means most people remember on Thursday rather than Friday at 4:00.
Why not a paper sheet or a Google Form?
A paper sheet lives in one place and fills up with the first people who walk past it. A Google Form takes forty signups for a row that needed two, and you find out in the spreadsheet. An online sign-up sheet closes each row when it's covered, sends a reminder the day before, and gives every person a link to cancel so the spot reopens. See the side-by-side with Google Forms.
