Church Volunteer Schedule Template (free, online)
Greeters, nursery, ushers, tech and coffee, every Sunday of the month, with availability first so nobody gets a Sunday they can't make.
How to set it up
A church volunteer schedule breaks in the same place every month: someone builds it from memory, three people are assigned a Sunday they're away, and the Saturday-night texts begin. Ask for availability first. Volunteers tick every Sunday they could serve, in every role they're trained for, and the schedule is built from that, by hand or with auto-fill.
Keep each ministry as its own section so the nursery lead runs the nursery rows and the tech lead runs the booth. Everyone assigned gets their Sundays by email with a reminder the day before, and a cancel link that tells the lead early enough to find cover.
Questions people ask
- How does availability-first work?
- Volunteers check every service they could cover. You assign from that list, or press auto-fill and it spreads the load evenly. Nobody is put on a Sunday they didn't offer.
- Can it repeat every month?
- Yes. Extend the schedule a month at a time in one click, or set it to roll forward on its own.
- Can each ministry lead manage their own rows?
- Add them as co-organizers. Everyone edits the same page and sees the same schedule.
Why not a paper sheet or a Google Form?
A paper sheet lives in one place and fills up with the first people who walk past it. A Google Form takes forty signups for a row that needed two, and you find out in the spreadsheet. An online sign-up sheet closes each row when it's covered, sends a reminder the day before, and gives every person a link to cancel so the spot reopens. See the side-by-side with Google Forms.
