How to set it up
Most people search for a nursery sign-up sheet, and what they need is a children's ministry rotation: two adults in each room for each service, every Sunday, from people who can't all serve every week. A first-come sheet doesn't work for this, because the volunteers who grab the early Sundays are the same ones every month. The sheet that works asks for availability first. Everyone checks the Sundays they could do; then you assign, or let the page spread the load evenly.
The mistake is scheduling by text message and hoping. Someone forgets, the room is short, and a parent ends up serving during the sermon. One tip: keep the two-adults-per-room rule visible on every row. When the count is on the page, people can see when the 11:00 service still needs one more, and they'll take it.
Questions people ask
- Why availability instead of first-come?
- Because a rotation is a fairness problem. If volunteers claim dates, the same few people get the easy ones. If they give availability and you assign, or let auto-fill do it, everyone serves about the same amount and nobody is scheduled for a Sunday they can't make.
- What about next month?
- Extend the page by a month. The same services carry forward with new dates and volunteers get one email asking for their availability. You don't rebuild the page.
- Do we need a background check question?
- Yes, almost always. The children's ministry template includes a checkbox for it at signup. Make it required for anyone in a room with kids.
Why not a paper sheet or a Google Form?
A paper sheet lives in one place and fills up with the first people who walk past it. A Google Form takes forty signups for a row that needed two, and you find out in the spreadsheet.
