How to set it up

A worship schedule is a rotation with instruments. Each service needs a worship leader, two or three vocalists, a drummer, a bass player, keys, a guitarist, someone on sound and someone on slides, and most of those people can't serve every week. The sheet that works lists each role for each service date, asks the team which dates they're available, and assigns from that, so the drummer who can only do first Sundays isn't asked about the others.

Keep the tech roles on the same page as the band. Sound and slides are the rows that go empty, because they feel less like worship and more like a job; when they sit next to the vocal rows, the team sees the gap and someone fills it. Send the schedule as one email per person with only their dates, and a reminder two days before, which is when people actually look at their charts.

Questions people ask

We have two services. One sheet or two?

One page, with the 9:00 and 11:00 rows side by side for each Sunday. Most band members do both services on the Sundays they serve, so they pick the date once and you assign them to both.

How far ahead should we schedule?

A month, built two weeks before it starts, so people have charts and rehearsal time. Extend the page a month at a time; the roles carry forward with new dates.

Can we add a rehearsal?

Yes. Add a Thursday rehearsal row for each week with the same people, or put the rehearsal time in the email note every volunteer gets.

Why not a paper sheet or a Google Form?

A paper sheet lives in one place and fills up with the first people who walk past it. A Google Form takes forty signups for a row that needed two, and you find out in the spreadsheet.
