How to set it up
Christmas Eve is the fullest the church will be all year, often with three or four services and a crowd that doesn't know where the restrooms are. The sheet that works lists each service as its own event, with the same roles under each: greeters at every door, ushers for the offering and candle lighting, readers for the lessons, two adults in the nursery, and parking helpers with flashlights for the late service.
Regulars sign up for the service they'd attend anyway, so post it by the first Sunday of Advent and expect the 4:00 family service to fill first and the 11:00 to need a nudge. One link for all the services lets the coordinator see which one is still short, and the reminder the day before keeps people from forgetting their shift in the holiday rush.
Questions people ask
- How do people sign up for one service and not the others?
- Each service is its own event card on the page. A volunteer opens the one they're attending and picks a role; the other services stay closed unless they open them too.
- Do we need a separate sheet for the choir or the nativity?
- No, add them as more lists on the same page if they need sign-ups. One link in the bulletin and on the website is easier for everyone.
- Can we use the same page next year?
- Yes. Copy the page, move the dates forward, and the roles come with it. Last year's volunteers can be emailed the new link from the page.
Why not a paper sheet or a Google Form?
A paper sheet lives in one place and fills up with the first people who walk past it. A Google Form takes forty signups for a row that needed two, and you find out in the spreadsheet. An online sign-up sheet closes each row when it's covered, sends a reminder the day before, and gives every person a link to cancel so the spot reopens. See the side-by-side with Google Forms.
