Children's Church Volunteer Sign Up Sheet (free, online)
A lead teacher, a helper and a door person for children's church every Sunday, built from the Sundays people can actually serve.
Free for one page. Pro is $79 a year for the whole church, and churches and nonprofits get 20% off every year with the code CHURCH20.
How to set it up
Children's church is the service inside the service: kids leave the sanctuary before the sermon and need a known adult waiting in the room. The sheet lists each Sunday with a lead teacher who runs the lesson, a helper or two for crafts and crowd control, and someone at the door to check kids in and hand them back to the right parent. Two adults in the room, always, and a third once the group is over fifteen.
The mistake is asking the same person to lead every week until they quit. Ask for availability across the month instead: everyone checks the Sundays they could do, and the director assigns from that or lets the page spread it evenly. One tip: put the lesson number in the Sunday's title, like 'Sunday Nov 2, lesson 9', so the leader can prep the right one without asking.
Questions people ask
- How does assigning work?
- Set the page to availability mode. Volunteers check every Sunday they could serve, and you assign from that list or press auto-fill to spread it evenly. Everyone gets their Sundays by email with a reminder the day before, and nobody is put on a Sunday they didn't offer.
- Do helpers need a background check?
- Almost always. The kids ministry template includes a background check checkbox at signup; make it required for anyone in the room. You can see who still needs one from the dashboard.
- What happens next month?
- Extend the page by a month. The same roles carry forward with new Sundays and everyone gets one email asking for their availability. You never rebuild the page.
Why not a paper sheet or a Google Form?
A paper sheet lives in one place and fills up with the first people who walk past it. A Google Form takes forty signups for a row that needed two, and you find out in the spreadsheet. An online sign-up sheet closes each row when it's covered, sends a reminder the day before, and gives every person a link to cancel so the spot reopens. See the side-by-side with Google Forms.
