How to set it up

A harvest party, a fall festival or a church picnic needs forty people for one evening and nobody for the rest of the month, so the sheet is about short, dated shifts. A setup crew at 4:00, booth and game attendants in 45-minute shifts from 5:30 to 8:00, a food line, two people in vests at the parking entrance, and a take-down crew that stays until the tables are stacked. Write the rows the way the night actually runs and people will take one shift and bring their family for the rest.

The mistake is announcing it from the pulpit for three Sundays and asking people to 'see the table in the lobby'. The ones who are willing never make it to the table. Put the link in the bulletin and the Sunday email, and share the open-spots link in the church group chat the week of. One tip: list the candy, cider and water as things to bring with counts, so families who can't give a shift can still carry something in.

Questions people ask

Why 45-minute shifts?
Because they fill. A parent will take 'ring toss, 6:00 to 6:45' and still walk the party with their kids. Two-hour shifts sit empty until the pastor asks someone by name. If a popular shift fills, the waitlist catches the next person for when someone cancels.
How do we get the word out?
Print the flyer with the QR code for the lobby and the bulletin, and put the link in the Sunday email. Next year, copy the page, move the date, and email everyone who served this year from the page.
Will people actually show up?
Everyone gets a confirmation when they sign up and a reminder the day before with their shift on it. If they cancel from that email, the spot reopens and the coordinator sees it, so the open-spots link going out Friday morning is accurate.

Why not a paper sheet or a Google Form?

A paper sheet lives in one place and fills up with the first people who walk past it. A Google Form takes forty signups for a row that needed two, and you find out in the spreadsheet. An online sign-up sheet closes each row when it's covered, sends a reminder the day before, and gives every person a link to cancel so the spot reopens. See the side-by-side with Google Forms.
