How to set it up

A Christmas program is a small production: four or five rehearsals, a costume person, someone building a stable out of pallets, and a performance night that needs greeters, ushers, a sound tech and a reception afterward. The sheet works best as a list per rehearsal (a helper to wrangle shepherds, a family to bring something for the kids to eat), a list of undated roles for costumes and set, and a list for the performance with real times.

The mistake is using one list for everything with no dates. Parents want to know if 'help with rehearsal' means every Wednesday until Christmas or one afternoon. One tip: the reception after the program is the part nobody plans. Add rows for cookies, cider and cleanup, and it will fill itself.

Questions people ask

Should parents of kids in the program be the volunteers?

For rehearsals, yes, they're already there. For the performance night, ask people whose kids aren't in it so parents can sit and watch. Say that on the page.

How do we handle costumes?

One person owns it and three help. Give the lead the list of parts and let them add rows for specific pieces, like 'three shepherd robes', that families can bring or make.

Can one family sign up for several things?

Yes, and they should. Set painting plus a rehearsal plus cookies is one signup and one confirmation email, with a link to change any part of it.

Why not a paper sheet or a Google Form?

A paper sheet lives in one place and fills up with the first people who walk past it. A Google Form takes forty signups for a row that needed two, and you find out in the spreadsheet.
