How to set it up

A meal train sheet is the simplest kind: one row per date, one family per row, for two or three weeks. The details are what make it work. The page needs the family's address, the best drop-off window, how many people the meal is feeding, what they don't eat, and whether they'd rather have every-other-day than every day. Most families would. Put all of that at the top of the page so every person who signs up sees it.

The mistake is over-scheduling. Fourteen straight days of lasagna is more than anyone can eat. Every other day for three weeks feels like care without the freezer filling up. One tip: add a text question at signup asking what the meal is, so the family doesn't get chili three nights running and the next cook can see what's been done.

Questions people ask

How many meals should we schedule?
Every other day for two to three weeks is the sweet spot. Ask the family first. Some want a week of daily meals and then a break; some want a month of Tuesdays and Fridays.
How do people know what to bring?
Put dietary notes, the head count and the drop-off window on the page itself. Add a 'What are you bringing?' question at signup so others can see the menu and avoid repeats.
Can people who can't cook still help?
Yes. Add rows for takeout gift cards, paper goods and errands. Those fill quickly with people who want to help but won't sign up to cook.

Why not a paper sheet or a Google Form?

A paper sheet lives in one place and fills up with the first people who walk past it. A Google Form takes forty signups for a row that needed two, and you find out in the spreadsheet. An online sign-up sheet closes each row when it's covered, sends a reminder the day before, and gives every person a link to cancel so the spot reopens. See the side-by-side with Google Forms.
