Trunk or Treat Sign Up Sheet (free, online)
Decorated trunks, candy, the games tent and the people who park cars, for one evening that fills a lot.
How to set it up
A trunk or treat is two sign-ups on one sheet. The first is the trunks: families who will decorate their car and hand out candy, and you need more of them than you think because the kids go around twice. The second is the jobs that make the evening run: parking and traffic, the welcome table, a games or craft tent, hot cider and popcorn, photos, and cleanup. Put both on the same page so a family can take a trunk and a job.
The mistake is running out of candy at 6:40. Set a candy count per trunk (two big bags each) and add a separate row for extra candy donations that go to the church's own trunk. One tip: give trunks a theme sign-up question, so you don't get four Barbie trunks and can put the scary one at the far end.
Questions people ask
- How many trunks do we need?
- Roughly one trunk per ten kids you expect. For 250 kids, aim for 25 trunks and accept that the last five will sign up the day before.
- What time should trunks arrive?
- An hour before the start, and say so on the page. Cars can't move once kids are in the lot, so late trunks end up at the far edge or not at all.
- Can a family do a trunk and a job?
- Yes, and many will. Because it's one page, they pick both at once and get one confirmation with the times.
Why not a paper sheet or a Google Form?
A paper sheet lives in one place and fills up with the first people who walk past it. A Google Form takes forty signups for a row that needed two, and you find out in the spreadsheet. An online sign-up sheet closes each row when it's covered, sends a reminder the day before, and gives every person a link to cancel so the spot reopens. See the side-by-side with Google Forms.
