How to set it up

Christmas Eve is the busiest night of the year and the night your regular volunteers most want to sit with their families. Four services, each needing greeters at the doors, a parking team in the lot before, a nursery for the early services, and people handing out candles at the end. That's forty or fifty spots in one evening. The sheet that works asks for availability first: everyone checks the services they could serve at, you assign from that, and nobody is scheduled for the service their family is attending.

The mistake is a clipboard in the lobby the Sunday before, which fills the 5:00 service in ten minutes and leaves the 11:00 empty. Online, you see every service side by side and can move people to where the gap is. One tip: send assignments a week out with the arrival time on them, 45 minutes before the service. Reminders go out the day before automatically, which on December 23 is the only thing anyone will read.

Questions people ask

Do nursery volunteers need a background check?
Yes, the same as any Sunday. The template includes a background-check checkbox at signup; make it required and only assign checked volunteers to the nursery rows. Everyone else can greet, park or hand out candles.
Why availability instead of letting people claim?
Because the early services fill and the late one doesn't. When volunteers say what they could do, you can put people where the gap is instead of chasing it on December 23.
What time do volunteers arrive?
Forty-five minutes before for greeters and candles, an hour before for parking. Put it in the row times and it goes on the confirmation and the reminder.

Why not a paper sheet or a Google Form?

A paper sheet lives in one place and fills up with the first people who walk past it. A Google Form takes forty signups for a row that needed two, and you find out in the spreadsheet.
