How to set it up
A church potluck is a meal and a workday. The sheet needs two halves: the food, with counts per category, and the kitchen, with setup, serving and dish crews that nobody signs up for unless they are asked by name. Put both on one page and the pastor stops washing pans at 2 pm.
If the potluck is monthly, keep the same page and let it roll forward: the dishes reset, the people who always bring the tea are asked again, and nobody rebuilds the list. Mark allergy rows if your congregation needs them; a gluten-free dessert and a nut-free main are the two that matter most.
Questions people ask
- Can the potluck repeat every month?
- Yes. Set the page to roll forward each month and the same sheet comes back with the dishes empty and the kitchen crew asked again. People who signed up last month can be re-invited with one message.
- How do people see what's already coming?
- Names and dishes show on the page unless you hide them. A text question, 'What are you bringing?', lets the twelfth person see eleven desserts and pick a salad.
- What does it cost a church?
- One live page with up to 30 volunteers is free. Pro is $79 a year for the whole church, with unlimited pages and volunteers, co-organizers and text reminders if you want them. Churches and nonprofits get 20% off.
Why not a paper sheet or a Google Form?
A paper sheet lives in one place and fills up with the first people who walk past it. A Google Form takes forty signups for a row that needed two, and you find out in the spreadsheet. An online sign-up sheet closes each row when it's covered, sends a reminder the day before, and gives every person a link to cancel so the spot reopens. See the side-by-side with Google Forms.
