How to set it up
A greeter schedule is a rotation problem. You need a couple of people at each door for each service, every week, from a team where nobody wants to do it every week. The sheet that works asks greeters which Sundays they can do across the month, then assigns from that. Everyone serves about the same amount, nobody gets a Sunday they'll be away, and the schedule goes out by email with a reminder the day before.
The mistake is a printed sheet in the lobby that fills up in the first two weeks and then goes blank. Greeters who don't see the sheet don't sign up, and the ones who do take every date. One tip: put the door names on the rows, 'main entrance' and 'side door by the parking lot', so a greeter who knows the side door gets the side door.
Questions people ask
- How is a rotation different from a plain sign-up?
- With a plain sheet, greeters claim dates and the same eager few take everything. With a rotation, greeters say which Sundays they could do and you assign, or let auto-fill spread it evenly. It's fairer and it fills better.
- Can couples serve together?
- Yes. Ask at signup with a text question, 'Who would you like to serve with?', and assign them to the same door. Many churches find couples and friends stick with greeting longer.
- How do we handle next month?
- Extend the page by a month and the same doors and services carry forward. Everyone on the team gets one email asking for their availability. No rebuilding.
Why not a paper sheet or a Google Form?
A paper sheet lives in one place and fills up with the first people who walk past it. A Google Form takes forty signups for a row that needed two, and you find out in the spreadsheet.
