How to set it up

An egg hunt has one big job before the day and several small ones on it. Before: stuffing eggs, which takes a crowd and an evening, and collecting the candy and eggs to stuff. On the day: hiding the eggs early, marking off age zones, marshals to keep the big kids out of the toddler field, a welcome table, and someone with a camera near the bunny. Then cleanup, which is mostly finding the eggs nobody found.

The mistake is asking for eggs and candy without a number. You get too much candy and not enough eggs, or the reverse. Put a count on both. One tip: split the field into age zones on the sheet, with two marshals per zone, and put the start times for each zone in the row so parents know where to be.

Questions people ask

How many eggs do we need?
Ten to twelve per child. For 250 kids, that's about 3,000 eggs, so 30 packs of 100. Put the count on the row and it will close when the last pack is claimed.
How do we keep it fair between ages?
Zones by age with a staggered start, and a marshal or two on each line. Put the zones and times on the sheet so volunteers know where they stand and parents know where to take their kids.
When should we stuff the eggs?
One evening about a week out. It's a good fellowship event on its own. Add it as a row with a big number and a time; fifteen people can stuff 3,000 eggs in about two hours.

Why not a paper sheet or a Google Form?

A paper sheet lives in one place and fills up with the first people who walk past it. A Google Form takes forty signups for a row that needed two, and you find out in the spreadsheet. An online sign-up sheet closes each row when it's covered, sends a reminder the day before, and gives every person a link to cancel so the spot reopens. See the side-by-side with Google Forms.
