How to set it up
Youth group runs on the same three things every week: two or three adults in the room, someone bringing dinner for thirty teenagers, and on some weeks a driver or two for an off-site night. The sheet should be one list per week with a row for each. Adult leaders tend to work best on a rotation, so ask for their availability across the month and assign from it. Dinner and driving are one-off jobs that parents can claim.
The mistake is one email that says 'we need help with youth group this fall'. Nobody knows what that means or what week. Dated rows with a head count get real answers. One tip: put the menu constraint in the dinner row, like 'feeds 30, nothing with nuts, drop off by 5:45', so parents who claim it know what they've signed up for.

- Can parents and leaders use the same sheet?
- Yes. Leaders give availability across the month and get assigned; parents claim dinner and driving rows. One page, two ways to sign up, one place to see what's still open.
- How far ahead should we schedule?
- A month at a time. Post it the last week of the month before, and extend it forward when the month is set. Reminders go out the day before automatically so leaders don't forget their week.
- What should we ask drivers?
- Add questions at signup: how many seats, and a checkbox for 'I have a current background check'. Most churches require both for anyone transporting students.
Why not a paper sheet or a Google Form?
A paper sheet lives in one place and fills up with the first people who walk past it. A Google Form takes forty signups for a row that needed two, and you find out in the spreadsheet.
