Communion And Altar Guild Sign Up Sheet (free, online)
Who sets the table, fills the cups, changes the paraments and washes up, every Sunday, on a rotation nobody has to carry alone.
Free for one page. Pro is $79 a year for the whole church, and churches and nonprofits get 20% off every year with the code CHURCH20.
How to set it up
The altar guild does quiet work that has to happen every single week: set the communion table on Saturday or early Sunday, fill the cups and cut the bread, change the paraments for the season, place or remove the flowers, and wash and put away everything after the last service. The sheet lists each Sunday with those jobs, two people on each, so a new member is always paired with someone who knows where the linens live.
The mistake is relying on the same two people who have done it for twenty years and never writing it down. Ask the whole guild for their availability for the month and assign from it; the page spreads it evenly and sends everyone their Sundays. One tip: put the big days on their own rows with a bigger count. Christmas Eve, Easter and the first Sunday of Advent take four people and a change of colors.
Questions people ask
- How does the rotation get built?
- Set the page to availability mode. Guild members check every Sunday they could serve, and the coordinator assigns from that or lets auto-fill spread it evenly. Everyone gets their Sundays by email with a reminder the day before.
- Can a new member be paired with someone experienced?
- Add a select question at signup, 'new to the guild or experienced', and assign pairs from it. With two spots on each row it's easy to see when a Sunday has two new people and swap one.
- What about next month?
- Extend the page by a month. The same jobs carry forward with new Sundays and the guild gets one email asking for availability. The big days keep their larger counts.
Why not a paper sheet or a Google Form?
A paper sheet lives in one place and fills up with the first people who walk past it. A Google Form takes forty signups for a row that needed two, and you find out in the spreadsheet. An online sign-up sheet closes each row when it's covered, sends a reminder the day before, and gives every person a link to cancel so the spot reopens. See the side-by-side with Google Forms.
