How to set it up
A cleaning rota fails when it's one name per week. Nobody wants to be the person who cleans the whole building alone on a Saturday, so the sheet should split the work into jobs that take an hour: vacuum and dust the sanctuary, clean the restrooms, wipe down the kitchen and take the trash, tidy the nursery and sanitize the toys, and mow or sweep outside. Four or five people, one hour each, any time before Sunday.
List four weeks at a time and let people claim jobs first come. Families often take the nursery or the grounds; the restrooms go last and need a note of thanks on the page. A reminder the day before cuts the no-shows, and the page shows the week that's still short so the deacon can ask one person instead of announcing it again.
Questions people ask
- When do people do their job?
- Any time before Sunday. Put the building's open hours and where the supplies are on the page, and ask people to tick off their job on the sheet or text the deacon when it's done.
- Can we roll it forward every month?
- Yes. Turn on the rolling schedule and the page adds the next weeks by itself, with the same jobs. Volunteers sign up as far ahead as they like.
- Should we split the big jobs?
- If the sanctuary takes two hours, make it two rows (vacuum; dust and pews) so two people can share it in the same hour.
Why not a paper sheet or a Google Form?
A paper sheet lives in one place and fills up with the first people who walk past it. A Google Form takes forty signups for a row that needed two, and you find out in the spreadsheet. An online sign-up sheet closes each row when it's covered, sends a reminder the day before, and gives every person a link to cancel so the spot reopens. See the side-by-side with Google Forms.
