How to set it up

Sunday school runs on the same promise as the nursery: a known adult in each room before the first child arrives. The sheet that works lists each class by age, with a teacher row and a helper row for each Sunday of the month. Most churches do better asking for availability first (which Sundays could you teach?) and assigning from that, so the same three people don't carry the whole quarter. Substitutes go on their own row so a sick teacher has somewhere to look at 7 a.m.

The mistake is one sheet per class in separate places. Put every class on one page so the children's director can see at a glance which room is still short next Sunday, and so a helper who usually serves with 2nd grade can see that 4th grade needs someone and take it. Keep the background-check question on the sign-up form, required, so nobody is scheduled who hasn't cleared it.

Questions people ask

How do we cover a whole quarter?
Build one month, then extend the page by a month at a time. The classes carry forward with new dates, and each teacher gets one email asking which Sundays they can do. Nothing is rebuilt.
Can a teacher swap with someone?
Yes. Every confirmation has a link to cancel a Sunday, which reopens the spot; with the find-a-replacement option on, their cancellation email goes to the rest of the team so someone can take it.
What about the background check?
Add a required checkbox on the sign-up form (the kids ministry template has one) and keep a copy of the cleared list in the page's notes. Anyone in a room with children should have ticked it.

Why not a paper sheet or a Google Form?

A paper sheet lives in one place and fills up with the first people who walk past it. A Google Form takes forty signups for a row that needed two, and you find out in the spreadsheet. An online sign-up sheet closes each row when it's covered, sends a reminder the day before, and gives every person a link to cancel so the spot reopens. See the side-by-side with Google Forms.
