Youth Service Project Sign Up Sheet (free, online)
A month of missions at partner sites: teens pick theirs, a parent is copied, leaders see who's where.
How to set it up
Youth movements, scout units and church youth groups send teens out in small groups: a soup kitchen Saturday morning, a food bank sort in the afternoon, a nursing home visit on Sunday. Each mission has a site, a time and a head count. Post the whole month on one page so a teen can pick two or three missions in one go, and put the address and the arrival instructions in the row note.
The mistake is a WhatsApp thread where the leader counts thumbs-up. Nobody's parent sees it, and the count is wrong by Friday. On a signup page the teen enters a parent email, the parent gets the same confirmation and reminder, and every leader on the team sees the list from their own dashboard.
Questions people ask
- Do we need parental consent for minors?
- Require a parent or guardian email at signup and add a checkbox for your consent text. The parent is copied on the confirmation and can cancel from it.
- Can teens prove their hours for school?
- Every mission rolls up per teen under Hours. Print a verification letter for a school or an award application in one click.
- Several leaders share the group. Can they all run it?
- Yes. Add each leader as a co-organizer and the page shows up in their own dashboard.
Why not a paper sheet or a Google Form?
A paper sheet lives in one place and fills up with the first people who walk past it. A Google Form takes forty signups for a row that needed two, and you find out in the spreadsheet. An online sign-up sheet closes each row when it's covered, sends a reminder the day before, and gives every person a link to cancel so the spot reopens. See the side-by-side with Google Forms.
