How to set it up

Most youth theaters ask each family to join a committee for the season. The committee list is a set of jobs with no date attached, each with a head count: costumes needs six, sets needs eight, publicity needs two. Post them all on one page, with a sentence under each about what the work actually is and when it happens, so families pick something they can really do.

The mistake is collecting committee preferences in a form and assigning by hand a week later. Let families claim a spot on the committee itself; when costumes is full it says so, and the next family picks sets. Put the dated jobs, like the Saturday set build, on the same page as timed shifts so the season is one link.

Questions people ask

How do we make sure every family joins one?
Send the link with the cast list and share the open-spots view a week later. The page shows who has signed up, so the chair can nudge the families who haven't, instead of everyone.
Can each committee chair see only their own people?
Chairs are co-organizers on the page. They see everyone, but each can email just their committee from the People page.
Can we reuse this next show?
Copy the page. The committees carry over; change the dates and the head counts and publish.

Why not a paper sheet or a Google Form?

A paper sheet lives in one place and fills up with the first people who walk past it. A Google Form takes forty signups for a row that needed two, and you find out in the spreadsheet. An online sign-up sheet closes each row when it's covered, sends a reminder the day before, and gives every person a link to cancel so the spot reopens. See the side-by-side with Google Forms.
