How to set it up

A marching band season is a list of Friday nights and Saturday competitions, and every one needs the same crews: chaperones on the buses, pit crew to move equipment, uniform parents, and a food crew that feeds two hundred kids in forty minutes. Post every game and competition as a section with those jobs under it, with times, because pit crew loads at 4:30.

The mistake is a separate team lead for each crew, each keeping her own list, and a booster president who cannot see the whole picture. One page with every crew and every date lets each lead run her crew as a co-organizer while the president sees which Friday is short.

Questions people ask

Each crew has its own lead. Do they all need to run the page?

Add each lead as a co-organizer. They put people on their crew, check them in on the day and email their list, and nothing is billed to them.

Chaperones need a background check. Can we track it?

Add a required question at signup, 'District volunteer clearance on file', and only assign cleared parents to bus trips.

Can students sign up for pit crew themselves?

Yes, and a parent or guardian email can be required so the parent gets the confirmation and the reminder too.

Why not a paper sheet or a Google Form?

A paper sheet lives in one place and fills up with the first people who walk past it. A Google Form takes forty signups for a row that needed two, and you find out in the spreadsheet.
