How to set it up

Show week is the one week a youth theater cannot be short. Each performance needs ushers at the door, two or three people on concessions, backstage helpers who know which kid goes on when, and a crew for strike after the last show. Post every performance as its own section with the same jobs under each, and put real call times on the rows, because ushers arrive an hour before curtain, not at curtain.

The mistake is one sheet per performance, each with a different link, so a parent who works Friday never sees that Saturday is short. One page for the whole run lets a family take Friday concessions and Sunday strike in one pass, and lets the chair share a link that shows only what is still open.

Questions people ask

A student signed up for backstage. Does the parent know?

Ask for a parent or guardian email on the form and the parent gets the same confirmation and the reminder the day before. Nobody is surprised on Saturday.

Several chairs run different areas. Can they all manage it?

Yes. Add each chair as a co-organizer. They see the page in their own dashboard, put people on spots, check volunteers in and email everyone on their list.

Families owe hours this season. Can we count them?
