How to set it up
A lock-in is an overnight with a ratio to keep: one cleared adult for every eight students, awake, all night. The sheet splits the night into three chaperone shifts so an adult can take 8 pm to midnight without taking 6 am, and the youth pastor can see at a glance which shift is short.
Everything else is daytime-style: a check-in table with the permission forms, four activity leads so there is always something running, a midnight snack that families drop off, and a breakfast crew who arrive at 6 and leave at 8 with the kids.
Questions people ask
- Can we require background checks?
- Add an agreement the page asks each adult to sign once, and tag cleared adults on your Contacts page so staff can see at check-in who is cleared. Put your policy in the description.
- How do we remind chaperones?
- Each person gets a confirmation with their shift and a reminder the day before. Text reminders are available if your church uses them.
- Can students sign up to attend on the same page?
- Keep attendance separate; this page is for the adults and the food. Link your registration in the description.
Why not a paper sheet or a Google Form?
A paper sheet lives in one place and fills up with the first people who walk past it. A Google Form takes forty signups for a row that needed two, and you find out in the spreadsheet. An online sign-up sheet closes each row when it's covered, sends a reminder the day before, and gives every person a link to cancel so the spot reopens. See the side-by-side with Google Forms.
