How to set it up

A winter concession stand is eight or ten home games on Tuesday and Friday nights, and every one needs three people behind the counter from 45 minutes before the first tip to the end of the varsity halftime rush. The sheet is one list per game with the three spots on it, plus a cash-box lead who owns the money for the season, plus the stock, bought by families and reimbursed. Post the whole season as soon as the schedule is out, because the game before winter break always ends up short.

The mistake is asking each family to 'work concessions once this season' with no dates on anything. It never gets scheduled and the same four parents stand there every Friday. Dated rows with a count get real answers. One tip: put the stock on the sheet as items with counts. Families who can't give a Friday night will happily bring four cases of water to the Tuesday game.

Questions people ask

Who handles the cash?
One cash-box lead, a booster officer or a parent who's done it before, picks up the box from the treasurer, counts it in with one worker before the game and out with one after, and drops it in the office safe. Two leads split the season so nobody does every game. Add a checkbox at signup, 'I've worked the register before', so you know who can cover.
Should every family be required to work?
Most boosters require one game a season. Say so on the page and share the open-shift link every couple of weeks. Reminders go out the day before so nobody forgets their Tuesday.
How much stock per game?
For a typical double-header, about 60 hot dogs, 40 nachos, 60 waters and a pot of cocoa. Set the item counts so the first three or four games are covered, then add rows as you see what sells.

Why not a paper sheet or a Google Form?

A paper sheet lives in one place and fills up with the first people who walk past it. A Google Form takes forty signups for a row that needed two, and you find out in the spreadsheet. An online sign-up sheet closes each row when it's covered, sends a reminder the day before, and gives every person a link to cancel so the spot reopens. See the side-by-side with Google Forms.
