How to set it up

A little league season runs on parents, and the jobs are more varied than most people realize: a head coach and two assistants per team, a team parent who runs snacks and the end-of-season party, a field crew before each game day, a scorekeeper in the booth, volunteer umpires for the younger divisions, and a concession stand that needs three people every Saturday. Put all of it on one page at registration, organized by division and then by job, and ask every family to take one thing.

The mistake is sorting it out at the first practice, when the coach is already holding the equipment bag and nobody wants to be the one to say no to his face. A sheet posted with registration lets a parent who can't make Saturdays take the Tuesday field-dragging row instead. One tip: write the time commitment in the row, like 'scorekeeper: one game, about 90 minutes', so the small jobs look as small as they are.

Questions people ask

Coaches need a background check. Can the sheet collect it?
Add a required checkbox at signup, 'I have completed the league background check', and a text question for the certificate number. The board sees who still needs one in the dashboard instead of in a stack of emails.
Can each team parent run their own snack schedule?
Yes. They build it from the sports team snacks sheet, one list per game, and the league keeps this page for the season-wide jobs. With Pro the league runs unlimited pages and the board can be co-organizers on all of them.
How do we remind a family about a concession shift they took in March?
They got a confirmation when they signed up, and they get a reminder the day before the shift. If they cancel from that email the shift reopens on the page, and the concessions lead can email everyone on the page to fill it.

Why not a paper sheet or a Google Form?

A paper sheet lives in one place and fills up with the first people who walk past it. A Google Form takes forty signups for a row that needed two, and you find out in the spreadsheet. An online sign-up sheet closes each row when it's covered, sends a reminder the day before, and gives every person a link to cancel so the spot reopens. See the side-by-side with Google Forms.
