PTA Volunteer Sign Up Sheet (free, online)
Every PTA event of the year on one sheet, each with its own spots, so a parent signs up once for the whole season.
How to set it up
A PTA volunteer sign up sheet fails when it is one event at a time. The festival sheet goes out in September, the book fair sheet in October, the holiday party sheet in November, and every time the same twelve parents see it first and the other three hundred never do. The fix is one sheet for the year, organized by event, that lives at one link in the newsletter and on the PTA website all year.
Each event gets its own section with its own date, shifts and things to bring. Parents open the event they can help with, tick a spot or two, and sign up once. The board members are all co-organizers on the same page, so whoever runs the book fair edits the book fair rows without asking the coordinator. Post it the week school starts, before anyone has a full calendar.
Questions people ask
- Can all the events really go on one page?
- Yes, with no limit on events or spots. Each event is its own card with the date on it. A parent taps the one they care about; the rest stay folded up.
- We put a QR code on each flyer. Does one page still work?
- Every event has its own link that opens the page with only that event expanded, so the book fair flyer lands on the book fair and the newsletter links to the whole year.
- What does it cost a PTA?
- One live page with up to 30 volunteers is free. Pro is $9 a month or $79 a year for the whole board: unlimited volunteers and pages, co-organizers, hours reports and no branding line. Cancel anytime, and a treasurer can pay the year in one invoice.
Why not a paper sheet or a Google Form?
A paper sheet lives in one place and fills up with the first people who walk past it. A Google Form takes forty signups for a row that needed two, and you find out in the spreadsheet. An online sign-up sheet closes each row when it's covered, sends a reminder the day before, and gives every person a link to cancel so the spot reopens. See the side-by-side with Google Forms.
