End of Season Team Party Sign Up Sheet (free, online)
Pizza, drinks, the trophies and the slideshow, plus who books the park pavilion.
How to set it up
The end-of-season party is the last thing the team parent organizes and the one nobody has energy for. Keep the sheet short: food (pizza or a potluck by category), drinks, dessert, paper goods, the trophies or medals, a coach gift collection, and one person on the slideshow. Add setup and cleanup, and say where and when at the top.
The mistake is asking one family to 'handle the party'. Break it into eight small jobs and it fills in a day. One tip: put the coach gift as a row with a dollar amount in the label, so contributions are visible and someone owns the card.
Questions people ask
- Where do we hold it?
- A park pavilion after the last game is the easiest. Put the reservation in the description and add a row for 'book the pavilion' if nobody has yet.
- How do we collect the coach gift?
- The sheet tracks who's in; collect the money by whatever app the team already uses. A row with the amount in the label keeps it visible.
- Can we reuse the snack schedule page?
- Add the party as a new section at the bottom of the snack schedule page, so families already on that page see it without a new link.
Why not a paper sheet or a Google Form?
A paper sheet lives in one place and fills up with the first people who walk past it. A Google Form takes forty signups for a row that needed two, and you find out in the spreadsheet. An online sign-up sheet closes each row when it's covered, sends a reminder the day before, and gives every person a link to cancel so the spot reopens. See the side-by-side with Google Forms.
