Ham, sides, rolls, cookies and cocoa for the office, church or neighborhood Christmas party, with counts so the table is a meal and not a dessert buffet.

How to set it up
A Christmas party potluck is the one potluck of the year where everyone wants to bring dessert. Counts per category fix it: a couple of mains, more sides than mains, rolls, a set number of desserts, drinks, and the paper goods nobody remembers. Put the headcount and the time food should arrive at the top, and the sheet does the balancing when 'cookies' fills and 'green beans' is still open.
The mistake is the open list in the break room. One tip: add a row for a crockpot of something warm, like meatballs or mac and cheese, and a row for a vegetarian main, so the people who don't eat ham still get a plate. Ask everyone to label their dish with a card so the host isn't guessing what's in the casserole.
Questions people ask
- How do I stop getting nine desserts?
- The dessert row closes at five. The sixth person sees it full and picks a side instead, and the page shows them what's still needed. That alone fixes most potlucks.
- Can people see what others are bringing?
- Yes, names and answers show on the page by default, so someone can see three potato dishes and bring a salad. Add a text question, 'What are you bringing?', to make that work.
- Does everyone get reminded?
- Yes. Each person gets a confirmation that names their dish and a reminder the day before the party. If they cancel from the link in it, the row reopens and you can email everyone on the page to refill it.
Why not a paper sheet or a Google Form?
A paper sheet lives in one place and fills up with the first people who walk past it. A Google Form takes forty signups for a row that needed two, and you find out in the spreadsheet. An online sign-up sheet closes each row when it's covered, sends a reminder the day before, and gives every person a link to cancel so the spot reopens. See the side-by-side with Google Forms.
